Twelve checks that tell an IVF EMR from a general one.

If the spreadsheets stay, the software is not IVF.

  • Compliance comes from dataNABH indicators and ICMR consent follow from structured cycle data.
  • Pricing does not scale with cyclesFlat fees suit a clinic with predictable monthly activity.

Most comparisons of IVF EMR software are written by vendors, which means they measure features that the vendor has and competitors lack. This article takes the opposite approach: here is the checklist a fertility clinic owner should use to evaluate any platform, followed by honest notes on where each major option wins and loses.

The 12-point evaluation checklist

If your software solves these gaps, it qualifies. If it does not, the price does not matter.

  1. 1Cycle-based record structureThe record must be a cycle, not an appointment. Every milestone should be a timestamped entry on one cycle timeline, contributed to by both doctor and embryologist without overwriting each other.
  2. 2Per-embryo grading per dayDay 3 morphology and Day 5/6 blastocyst grading using the Gardner, per embryo, per cycle. If grading is in a free-text notes field, it cannot be queried for NABH KPIs.
  3. 3Cryo inventory to straw levelTank number, canister, position and straw status for each frozen embryo. Certificate auto-generated on creation, with automated storage renewal reminders.
  4. 4Outcome and embryology KPIs, automatedNABH's ART clinic standards require the clinic to identify and monitor key indicators, and name ICSI fertilisation rate, Day 5 usable blastocyst rate, clinical pregnancy rate and carry-home baby rate among them; the indicator annexure lists 28.
  5. 5ICMR ART 2021-compliant consentThe ICMR ART Guidelines 2021 require specific consent documentation at multiple cycle stages: before stimulation, before OPU, before transfer, and for cryopreservation. The system should have compliant templates, not generic consent fields.
  6. 6IVF package billingAdvance at cycle start, milestone charges as procedures occur, automatic refund computation for cancelled cycles, and a final settlement. GST applies per line item.
  7. 79 auto-generated cycle documentsAdvance receipt, cycle statement, refund letter, plan acceptance, cycle summary, embryology report, semen analysis, monitoring sheet and cryo manifest, in one click.
  8. 8DPDPA 2023 complianceIndia's Digital Personal Data Protection Act 2023 does not create a separate sensitive-data category, but genetic and reproductive data carry high risk and the Act's consent, security and breach duties apply in full. Ask how data is encrypted at rest and what happens if the clinic cancels.
  9. 9Follicle monitoring as structured dataFollicle count and size per ovary, endometrial thickness, and hormone levels (E2, LH, P4) as structured fields, shown as a day-by-day timeline.
  10. 10Multi-staff, single recordDoctor, embryologist and nurse contribute to the same cycle record without overwriting. The embryologist's view is distinct but linked.
  11. 11WhatsApp-native communicationCycle updates, consent links, results, cryo certificates and billing documents deliverable on WhatsApp from within the EMR. A separate WhatsApp Business API tool adds cost and creates data silos.
  12. 12Flat pricing with no per-cycle feesSome platforms charge ₹300–₹500/cycle. At 50 cycles/month that is ₹15,000–₹25,000/month, and at 100 cycles/month ₹30,000–₹50,000/month on top of the base licence.

7 questions to ask any IVF EMR vendor

A vendor that cannot answer all seven clearly, or defers any to "after you sign up," will bring surprises.

  1. 1Embryo gradingCan the embryologist grade embryos per day, and is the data linked to the cycle record, not a notes field?
  2. 2Cryo inventoryDoes the system track cryo inventory to tank, canister, and straw level with auto-generated storage certificates?
  3. 3KPIsDoes it compute outcome and embryology KPIs (fertilisation, blastocyst, clinical pregnancy rates) automatically from cycle data, or do we compile them manually?
  4. 4ICMR consentDoes it have ICMR ART 2021 consent templates with digital identity verification?
  5. 5Usage chargesIs there a per-cycle or per-patient charge at any usage volume?
  6. 6Data storageHow is reproductive and genetic data stored: encrypted at rest, with what standard, and in which country?
  7. 7ExitIf we cancel the subscription, can we export all cycle and embryology data in a standard format at no charge?

The honest summary

The best IVF EMR for your clinic is the one that eliminates the parallel spreadsheets.

The four workflows it must touch
  • Embryology grading
  • Cryo log
  • NABH KPI compilation
  • Billing reconciliation

If software does not touch those four workflows, it is a general EMR, not an IVF EMR.
