The 60-second version

One phone number, separate medical records.

A phone number is a route, not a patient.

Plain words, one picture.
  • A group of recordsEach member stays their own patient. The group adds members, a primary contact and phone numbers.
  • One number, one groupA number can belong to only one family group in a clinic.
  • Mistakes are cheapRemoving a member or dissolving a group deletes no patient record.
  • The bot asks whoFor a household of more than one, booking asks who the appointment is for.

The phone number is a route for messages. The patient record is a clinical fact.

In many Indian households the clinic's only reliable contact for a child, or for a grandparent without a smartphone, is an adult family member's phone number. That is not a data quality problem to be fixed. It is how families work. The question for a clinic is how to let one number serve several people without ever letting their medical records blur together.

This post is about the desk side: what reception does when a household arrives, and how the record stays clean over the following years.

The three ways a shared number goes wrong

A shared number fails at the desk in three ways: merged, duplicated, or guessed.

  1. STEP 1
    Merged records
The second person is registered into the first person's file, so a child's allergy list sits in the mother's chart.
  2. STEP 2
    Duplicate records
Staff decline to register a new person on an existing number, so people get a made-up or blank number and reminders reach nobody.
  3. STEP 3
    A silent guess
Reminders, a prescription or a bill go to the number, and nobody can tell whom they were about.

How Family Profiles is structured in CuraVerto

A family is a group of patient records, not a single merged record.

  1. STEP 1
    Start from a profile
The patient you start from becomes the primary contact, and their number is registered to the group in the same step.
  2. STEP 2
    Add a member
Link an existing patient by search, or create a new person by name, with optional date of birth, gender and blood group.
  3. STEP 3
    Register more numbers
Tie a number to a member, or keep it at household level, such as a landline or a second SIM.
  4. STEP 4
    Fix a relationship
Change a member's relationship later if it was entered wrongly.
Relationship choices include
  • Spouse
  • Child
  • Parent
  • Sibling
  • Grandparent
  • Grandchild
  • Guardian
  • Other

CuraVerto Family Profiles is part of every plan, from the CMS plan at ₹25,000 per year excluding GST. Each member remains their own patient with their own visits, notes and prescriptions.

The guardrails that protect the record

CuraVerto enforces rules so a rushed desk cannot create the failures above.

  1. STEP 1
    One number, one group
A number that is already registered elsewhere is refused with a message saying so.
  2. STEP 2
    Keep a number
A group must always keep at least one phone number, and the last number cannot be removed.
  3. STEP 3
    Primary contact stays
The primary contact cannot be removed while other members remain, until the group is dissolved.

Every one of these actions is scoped to the clinic. A group, a member or a number that belongs to another clinic cannot be read or changed, and a link to a patient who is not in the group is refused.

Undoing a mistake without touching anyone's history

Removing a member, or dissolving the group, does not delete any patient record.

A wrong grouping is a cheap mistake
Each person reverts to being a standalone patient with their visits, notes and prescriptions intact. Group-level numbers stay with the group when a member leaves. For a front desk, that matters more than any convenience feature, because a wrong grouping is a cheap mistake rather than a data-loss event.

What the household looks like to the patient

The booking bot asks who the appointment is for whenever the group has more than one member.

The step is not skipped
That step is never skipped, because the choice of patient is a clinical decision, not a formality. Once a member is selected, the appointment attaches to that person's own record.

Who is affected most

Paediatric practices, elderly patients and couples feel this most.

  1. STEP 1
    Paediatric and family practices
Every child is registered against a parent's number. Grouping lets reception see the whole household without mixing the charts.
  2. STEP 2
    Elderly patients
A grandparent's reminders go to a son or daughter, while their record stays their own.
  3. STEP 3
    Couples
Two adults on one number remain two patients, each with their own prescriptions and bills.

The common thread is that the phone number is a route for messages, while the patient record is a clinical fact.

A desk routine that works

Five habits keep a household clean.

  1. 1Search firstSearch by name and phone before registering anyone new, and link an existing patient rather than re-creating them.
  2. 2Child under own nameRegister a child under their own name and link them to the parent, choosing the relationship at the time.
  3. 3Household numbersAdd a landline or a second number as a household number when it belongs to the family rather than one person.
  4. 4Add before removingAdd the new number to the group before removing the old one.
  5. 5Remove, do not editIf two people were grouped by mistake, remove the member rather than editing either record.
