A patient who does not come back for the second dose, the next antenatal visit or the six-month dental check is rarely a patient who decided to skip it. More often the due date existed in one place and no one was looking at that place on the day it mattered. A due-date board puts every upcoming date, from every part of the clinic, on one screen that someone checks.

What the Horizon board shows

Horizon is a read-only feed of due-dated items that the signed-in user is allowed to see.

  1. STEP 1
    Overdue
Items already past their due date.
  2. STEP 2
    0 to 30 days
    Due soon.
  3. STEP 3
    31 to 60 days
    Coming up.
  4. STEP 4
    61 to 90 days
    Further out.

Each card shows what is due, when, how many days away or overdue it is, and whether anyone has already been told. Where a patient has a phone number, the card gives a call link and a WhatsApp link.

It reports state and nothing more
The board does not rank patients, score them or tell staff what to do. It is also built so that one failing data source does not blank the board, and any source that could not be read is reported as a warning, because an empty board reads as "nothing is due", which is exactly the wrong conclusion to draw from a fault.

Which due dates it actually tracks

Horizon draws from specific sources. It is not every follow-up date a doctor writes on a prescription.

Patient-facing
  • Vaccination due, from the patient vaccination schedule
  • Antenatal visit due
  • Dental recall, for clinics with the dental module
  • Instalment due, for payment plans
  • IVF clinics: embryo storage renewal, storage consent renewal and sperm storage renewal
Clinic-facing, labelled Clinic
  • Pharmacy drug licence and pharmacist registration renewals
  • IVF cycle clearance validity and embryology stock expiry
  • Sterilisation validity
  • Staff access expiry

Which of these a user sees depends on their role and on the modules the clinic has.

Sending is a separate feature from the board

The board and automatic sending are two features with different plan checks.

The board
  • An ART and HMS feature
  • The server refuses board and policy requests from a CMS clinic, not just the menu
Automatic sending
  • Has its own feature key
  • Has its own entitlement check
Default ladder: days before the due date
  • 90 days
  • 30 days
  • 7 days
  • 0 days

In practice, the settings that control what gets sent are configured through the board, which is on ART and HMS only, so a clinic should plan around ART or HMS for the whole workflow. Automatic sending is off until an admin or owner enables a source and turns on sending for it. Out of the box nothing is sent after a date has passed; overdue items are worked from the board by a person unless the clinic adds a negative offset.

The guardrails on automatic sending

Six guardrails apply before any automatic reminder goes out.

  1. 1Quiet hoursNothing is sent between 21:00 and 08:00 in the clinic's own time zone.
  2. 2ConsentA patient who has not consented to WhatsApp reminders, or who is marked not contactable, is skipped, and the suppression is recorded.
  3. 3One message per patientIf a patient has several items due, one is chosen rather than sending a burst.
  4. 4A per-run capEach source has a maximum number of sends per run, and the lowest configured cap applies. The default is 50.
  5. 5No repeatsEvery send is claimed in a ledger before it goes out, so a rung that already ran is not sent again.
  6. 6Approved templates onlyA source is skipped unless its WhatsApp template is approved by Meta.
Ask about templates
Each reminder uses its own WhatsApp template, and the sender skips a source until that template is approved by Meta. If automatic reminders are the reason you are considering the board, ask for the current status of each template rather than assuming it is live. The board itself does not depend on any template.

What to expect, and what not to expect

A board makes due dates visible; it cannot make a patient come.

No outcome numbers
We are not publishing outcome numbers for it, because a claim about improved return rates would need a measured baseline from a clinic that ran without it first. What a clinic can reasonably expect is a shared, current answer to the question "who is coming due this month" for the sources listed above, and, once the templates are approved and sending is enabled, reminders that follow a fixed ladder with consent and quiet hours respected.

For paediatric vaccination, see the vaccination tracking post below. The WhatsApp rates post explains how utility reminders are metered from the wallet.
